Apprenticeship Description

Following continued expansion, we have expanded to provide a local solution for public and private sector organisations with large complex estates. We have built a trusted network of local suppliers and sub-contractors to create our reactive and maintenance services, encompassing all building and material infrastructure.

Job Summary
The Apprentice Contract Administrator plays a key role in supporting building maintenance contracts by coordinating communication between clients, site engineers, and subcontractors. The role is responsible for managing incoming maintenance jobs, ensuring works are scheduled and completed efficiently, and maintaining accurate records in line with company procedures, contractual obligations, and data protection requirements.
Key Responsibilities
• Act as the main point of contact for clients, engineers, and subcontractors on building maintenance contracts
• Log, manage, and coordinate incoming reactive and planned maintenance jobs
• Schedule engineers and subcontractors, ensuring correct skills and availability for each job
• Communicate job details, access requirements, and updates clearly to all parties
• Answer incoming telephone calls and manage emails in a professional and timely manner
• Maintain accurate job records, contracts, service reports, and compliance documentation using computer-based systems
• Ensure all job information is handled in line with data protection legislation and company data protection policies
• Manage confidential customer, site, and personnel information securely at all times
• Monitor job progress, chase outstanding actions, and support issue resolution
• Assist with purchase orders, subcontractor documentation, and job completion paperwork
• Support invoicing and reporting by ensuring all job details are complete and accurate

Working week
Monday to Friday 9am to 5pm
37.5 hour per week
Qualifications Required
Maths & English GCSE grade 4 / C or equivalent qualification
